What Normalex is
Normalex brings together sixteen free tools for running a law firm in Belgium in line with its professional obligations:
- anti-money laundering (AML): the client risk assessment and file note, readiness for the annual AML questionnaire and the firm-wide AML risk assessment;
- artificial intelligence: the firm's AI use policy, the AI tools register and the data protection impact assessment (DPIA) of an AI tool;
- fees: the engagement letter and the fee-information sheet for consumer clients (Court of Justice, Case C-395/21);
- GDPR in the firm: the record of processing activities, privacy notices, a kit for answering data subject requests, a helper for notifying a data breach within 72 hours, and the DPIA;
- deontology: the conflict of interest check and a calculator for the continuing professional development (CPD) points still needed;
- pro deo: the point value and payments, and the income thresholds for second-line legal aid;
- new client: a guided path that chains the conflict check, the AML assessment, the engagement letter and the privacy notice.
Each tool is published once its sources have been verified.
Who it is for
Normalex is made for lawyers practising in Belgium: sole practitioners, the partners who run a firm and whoever keeps track of its professional obligations. It also serves the people who prepare the files with them: the AML compliance officer, the data protection officer, the office team.
The tools are not designed for members of the public. They produce documents that the lawyer reviews, adapts and signs.
Our principles
- The rule first, with its source. Every tool opens with what the law or the bar requires, with its source and the date it was verified. You know why each question is asked.
- The document is the result. File note, policy, engagement letter, register: you get a document to review, adapt and sign, in the language you choose.
- Your clients' data stays on this device. What you enter is never sent to a server. The registers you choose to keep are encrypted in your browser, with a passphrase only you know.
- Free results and exports. Results, documents and every export (PDF, DOCX, CSV, ICS) are free, with no account. Free exports carry a small Normalex header.
- A verified address, no marketing consent. A verified e-mail address, free of charge, unlocks the firm features: your firm's letterhead on every exported document, the firm's details pre-filled in the generators, the encrypted vault for your registers and the full "new client" pack in one click. Marketing consent is never required for this.
How the sources are verified
Every rule, template and value (threshold, amount, point value) is checked against its primary source: the Belgian AML Act of 18 September 2017, the EU AI Act, the GDPR and the guidance of the Belgian Data Protection Authority (APD/GBA), the case law of the Court of Justice, the Judicial Code, the Belgian Official Gazette (Moniteur belge), and the regulations and guidance of AVOCATS.BE and the OVB. The date of that check is shown with the rule.
We write the templates ourselves, from those sources. They do not copy the bars' models, but they refer to them.
A Belgian lawyer reviews the tools after they are published. Once that lawyer has reviewed a tool, they are named on that tool's page.
Rules change. When a law, a bar regulation, a threshold or the point value changes, we update the tool, and its verification date changes with it.
Report a problem
Every tool has a "Report a problem" form. A rule that has changed, a clause to revisit, an outdated value: Avlex's support team reads every report. The form attaches the non-personal options you chose and the date the rules were verified; never names, never your clients' data, never the content of your vault. See the privacy notice.
Who publishes Normalex
Normalex is published openly by Avlex Belgium SRL, a company based in Brussels. Avlex is legal AI for Belgian lawyers: avlex.be.
Normalex is independent: it is not published by a bar, by AVOCATS.BE or the OVB, or by a supervisory authority.
The Normalex tools work without an account and without the Avlex platform. When you unlock, you can agree, separately for each topic, to receive alerts, news from Avlex or a call presenting its platform. These boxes are never pre-ticked, and unlocking depends on none of them. This is how Avlex becomes known to the lawyers who want to hear from it.
Avlex also publishes other tools: see Other tools by Avlex.
Disclaimer
Normalex is a tool to assist lawyers. Every document it produces is a drafting aid based on the sources cited: it is to be reviewed and adapted by the lawyer, and it is neither advice nor a guarantee of compliance. The lawyer remains responsible for the documents they sign and for checking the applicable rule.
Normalex never says that a firm is in order. It shows what is done, what is missing, and the source of each obligation.
